Privacy Policy

Memaix is a project memory and assistant service operated by Jimmy Lovén ([email protected]). This policy describes what the service does with your data.

What we handle

• Account data – your name, email address and login details, and the projects you belong to.
• Content you store in Memaix – notes, files, backlog items, rules and settings that you or your AI client write to your projects.
• Google Calendar – if you link a Google account, Memaix asks to see your list of calendars and to view and edit events (calendar.calendarlist.readonly and calendar.events). It uses this to show your events and free/busy time, and to create, change or delete events in your primary calendar when you ask it to, for example when a booking is confirmed. It does not change calendar settings or sharing.
• Mail – if you link a mailbox, Memaix connects with the mailbox credentials you provide (for example an app password over IMAP) to read messages and to save drafts. Memaix does not request access to Gmail through Google's APIs.
• Booking data – if you offer a public booking page, the name, email address, message and consent text that a guest submits.

How data is used

Data is used only to provide the features you ask for: showing your calendar and mail to you or to the AI client you have connected, creating drafts for your approval, and handling bookings. We do not sell data, share it with advertisers, or use it for advertising. Memaix does not use your data to train AI models. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

AI clients

Memaix is used through an AI client that you choose and connect (for example Claude or ChatGPT). When you ask that client to read your calendar, mail or notes, the content it requests is sent to that client and its provider, which processes it under its own terms. Memaix itself never sends your data to an AI provider on its own initiative. Actions that send or change things on your behalf are prepared as drafts or pending items and require your approval.

Storage and retention

• OAuth tokens and mailbox credentials are stored encrypted. Unlinking an account in Memaix deletes them. You can also revoke Google access at any time in Google Account Permissions.
• Calendar and mail content is fetched from the provider when it is requested and is not copied into Memaix's search index. Pending items awaiting your approval (such as a draft) contain the content of that draft until they are handled or expire.
• Notes, files and backlog items you store, and booking data, are kept until you or the project administrator delete them.
• An audit log records which action was taken, by whom and when.

Sharing

Your data is visible to you and to the other members of the projects you share it with. It is not shared with third parties except the AI client and mail or calendar provider that you connect yourself, and the infrastructure providers needed to run the service.

Your choices

You can unlink any connected account at any time. To access, correct or delete your data, or to close your account, email [email protected].
